Family members will not be admitted to the Conference.
Visa Support Information for funded Participants
SnT2025 conference participants requiring an entry visa to Austria may receive support from CTBTO to facilitate their visa application process.
Required Information:
- A clear copy or scan of your passport in pdf and in portrait format which must remain valid for at least six (6) months beyond the intended date of travel
- The country and city where the visa application will be submitted to the relevant Austrian or Schengen representative authority (embassy, consulate, or authorized visa center).
Visa Application Procedures:
- Each participant will be provided with a Note Verbale reference number which must be cited when submitting visa applications with the appropriate Austrian/Schengen representative office or VISA Service Center.
- Kindly be advised that the visa application process, including securing an appointment and submitting all required documentation, remains the sole responsibility of the participant.
Important Timelines:
- Visa applications may be submitted up to 3 months prior to the intended date of travel.
- The minimum acceptable deadline for visa submission would be 15 calendar days prior to your intended departure.
- Participants are strongly encouraged to initiate the visa applications process promptly upon receipt of their Note Verbale reference number in order to allow adequate time for processing.

Travel
Provision of a round-trip ticket to funded participants, booked by the CTBTO travel agency (AX Travel) with arrival in Vienna on 8 September and departure on 13 September 2025.
In case that funded participants need to rearrange their travel arrangements due to an unforeseen event
- Before travel takes place, please contact the respective CTBTO travel assistant.
- During travel and during CTBTO office hours (Monday to Friday, Vienna time 08:30-17:30) please contact the respective CTBTO travel assistant.
- During travel and during out of office hours please contact the respective airline directly.
- During travel and out of office hours and in case that the responsible airline cannot provide alternative options please contact the Emergency Travel Service of the CTBTO travel agency (AX Travel) at the Austrian landline number +43 (1) 2600 23090 (please be aware of the additional fees).
- Any additional ticket charges should be paid by the participant and may be claimed for reimbursement with the support of the responsible CTBTO travel arranger/assistant.

Transportation from/to airport
Provision of terminal expenses of USD 63 per direction (including all expenditures for transportation to and from the airport, including transfer of baggage, and other related incidental expenses).
The travelers need to organize their transportation individually.

Hotel Accommodation
A hotel room for single occupancy including breakfast will be booked and paid by the CTBTO for funded participants.
Any private expenses of the participants must be paid directly at the hotel before check-out.
In the event that participants cannot travel due to unforeseen last-minute circumstances or arrival in Vienna is delayed, participants are requested to cancel and/or change their room reservation by contacting the hotel directly using the contact details on the hotel booking confirmation which will be sent to each funded participant.
Daily Subsistence Allowance (DSA)/Per Diem
The DSA will be paid by bank transfer or in cash on the first day of the Conference, once funded participants sign the attendance list and provide their boarding passes.
Medical Health Insurance
Participants are entitled to health insurance coverage through Cigna International.
The coverage duration is valid for the period of the travel days and stay in Vienna. A copy of the insurance coverage will be emailed to each funded participant. Participants are expected to have the insurance certificate with them, either electronically or in printed form.
