PROVISIONAL CONFERENCE PROGRAMME
DEADLINES (back to top)
- The deadline for uploading e-posters, lightning talk slides as well as slides for oral presentations (and pre-recorded videos, as appropriate) is as soon as possible and no later than 31 August 2025.
The possibility of uploading the slides will be available as soon as the Provisional Conference Programme is made available on the Conference Platform (Indico) in the coming weeks.
* Important note: slides and e-posters cannot be provided onsite to the Conference assistants for upload. All material displayed in session rooms and on touchscreens in the e-poster area will be automatically transferred from the Conference portal as uploaded by the author according to the above deadline. In addition, the material also needs to be available online for access to remote participants.

PROGRAMME CODES (back to top)
Programme Codes are used to identify all contributions. They have to be placed by the authors in the dedicated boxes on their presentations (see templates for e-poster, lightning slide and oral presentations). Programme Codes are determined according to the type of presentation (oral or e-poster), the track under which the submission was accepted and the contribution ID. All this information can be found in the SnT2025 Abstract Acceptance notification e-message sent to the submitting author. Please note that the assigned track and/or presentation type (oral or e-poster) may differ from those requested at the time of submission, as contributions may have been assigned to a different track as a result of the review process.
PROVISIONAL CONFERENCE PROGRAMME (back to top)
The CTBTO will inform participants by email when the Provisional Conference Programme is made available on the Conference Platform (Indico). It will include the dates, times and locations of each session or event under each track. This will allow authors to confirm when their presentation(s) are scheduled.
The Provisional Conference Programme will also be available on the SnT2025 Event Platform (mobile event app and web event platform that will be used during the Conference). Please note that the Provisional Conference Programme may be subject to minor revisions and therefore we kindly ask you to check for those regularly.
ORAL PRESENTATIONS (back to top)
ORAL SESSIONS
All the oral sessions on Monday 8 September will be virtual and held online via WebEx. For those presentations, the presenters need to submit their pre-recorded oral presentations with video narration and be available at the scheduled time to answer questions from the audience.
The remaining days of the Conference will be hybrid days, meaning that the oral sessions held on those days will mainly consist of live presentations at the Hofburg Palace but also of online oral presentations, delivered live according to the Conference Programme (or pre-recorded if so agreed with the presenter). The sessions will be streamed on the SnT2025 Event Platform.
After each presentation, presenters will have the opportunity to engage with the audience.
DURATION OF ORAL PRESENTATIONS
The time allotted for oral presentations (including discussion) is 15 minutes: 12 minutes for the oral presentation, plus 3 minutes of questions and answers. This applies to live and virtual presentations.
For the optimal running of the Conference, the Chairpersons will be requested to adhere to a strict schedule. Presenters are strongly encouraged to ensure that they complete their presentation and allow for questions and answers within the allotted time.

UPLOADING PRESENTATION SLIDES AND PRE-RECORDED ORAL PRESENTATIONS AND NAMING CONVENTION
Slides for live oral presentations in a PDF format and, if applicable, pre-recorded virtual oral presentations in an MPEG-4 format must be uploaded to the Conference Platform as soon as possible and no later than 31 August 2025. Guidance for uploading files for the oral presentations can be found here.
Please use the following naming convention when saving your file:
- Slides for live oral presentations: (Programme Code)_(Last Name of Presenter).pdf. For example, participant "Smith" uploading an oral presentation file with Programme Code O3.2-238 should save the file as "O3.2-238_Smith.pdf".
- Pre-recorded oral presentations: (Programme Code)_(Last Name of Presenter)_recording.mp4. For example, participant "Smith" uploading a pre-recorded presentation file with Programme Code O3.2-238 should save the file as "O3.2-238_Smith_recording.mp4".
E-POSTER PRESENTATIONS (back to top)
E-POSTER SESSIONS
Each e-poster session will be made up of two components: the lightning session and the e-poster session.
The purpose of the lightning session is to invite the audience for further discussions in either an in-person e-poster session at Hofburg or an online e-poster session. Therefore, ahead of the dedicated e-poster session, the authors need to give a short presentation (1 slide, 1 min.) describing their contribution.
The e-poster sessions scheduled for Monday 8 September will be held online on the SnT 2025 Event Platform and consist of an online discussion with the presenters based on the content of their e-posters as well as pre-recorded lightning talks (both uploaded to the Conference Platform in advance). All authors, remote or in Vienna, are encouraged to attend the virtual e-poster sessions. The sessions will be moderated by a Chairperson.
The e-posters from sessions scheduled for the remaining days of the Conference will be displayed on touchscreens at Hofburg. One touchscreen will be assigned to each e-poster during a given session, which will last for one hour. The possibility of voting for a poster to highlight its relevance will be available in front of each touchscreen and on the SnT2025 Event Platform. The authors in attendance are expected to stand near their e-poster during the scheduled session and engage with interested audience. All e-posters will be available to the audience at any time through touchscreens in a dedicated room (Zeremoniensaal) at Hofburg for consultation.
Please note that e-posters must be uploaded by the deadline and at least one of its co-authors must be available for interaction with the audience (whether virtually or in person) for an e-poster to be made available on the SnT2025 Event Platform or referred to in any post-conference report.

E-POSTER PREPARATION
Each e-poster submission will comprise of the following elements:
- e-poster slides (PDF format)
- a lightning talk slide (PDF format)
- in addition, for e-posters scheduled on Monday 8 September, a pre-recorded one-minute lightning talk from the author presenting their e-poster virtually (MPEG-4 format).
E-poster slides:
E-posters should include slides with written and visual content that highlight the context, methods, and results of the research. It is recommended that the e-poster content be limited to 2-3 slides (or pages), and have the following structure, if applicable:
- Cover slide
- Main body of the poster slide
- Additional slide, if necessary
The E-poster Template contains the Cover slide and one slide for the Main body of the poster. This can be expanded if necessary by the authors by duplicating the Main body of the poster slide (as opposed to inserting a new slide).
In the Cover slide, the authors are expected to write the title of their presentation, the name of the co-authors and a summary of the main results.
In the Main body of the poster slide, it is suggested to cover the following items:
- Introduction/Objectives
- Methods/Data
- Results/Conclusion
We advise authors not to repeat the name of all the co-authors in this slide due to limited space available but rather specify the name of the first author followed by et al.
The authors are kindly reminded to replace the Programme Code placeholder on all slides with their own, unique PROGRAMME CODE for any given contribution.
Please use a landscape (horizontal) page format to provide for best online viewing.
Lightning talk slide:
Lightning talk slides should be concise and emphasize one or two main points of the e-poster. A lightning talk slide template is available here. We strongly encourage authors to use this template to minimize the need for editorial adjustments.
Pre-recorded lightning presentations:
In addition, the authors whose e-posters have been scheduled for Monday need to pre-record and upload their lightning talk. Preparation of a pre-recorded lightning talk is subject to the same modalities as the pre-recorded oral presentations. The detailed instructions can be found in FORMAT AND RECORDING.
UPLOADING E-POSTER FILES
Authors are requested to upload their e-poster files by the deadline to provide an opportunity for participants to view e-posters at their leisure, ask questions in advance, and hopefully inspire a lively discussion. Guidance for uploading e-poster files can be found here.
Please use the following naming convention when saving your file:
- e-poster: (Programme Code)_(Last Name of Presenter).pdf. For example, participant "Durant" uploading an e-poster file with Programme Code P4.4-678 should save the file as "P4.4-678_Durant.pdf".
- Lightning talk slide: (Programme Code)_(Last Name of Presenter)_lightning.pdf. For example, participant "Durant" uploading a lightning talk file for an e-poster with Programme Code P4.4-678 should save the file as "P4.4-678_Durant_lightning.pdf".
- Pre-recorded lightning talk: (Programme Code)_(Last Name of Presenter)_lightning_recording.mp4. For example, participant "Durant" uploading a pre-recorded lightning talk file with Programme Code P4.4-678 should save the file as "P4.4-678_Durant_lightning_recording.mp4".
FORMAT AND RECORDING (back to top)
SLIDE FORMAT
The oral presentations and e-poster files should be prepared using the templates provided on the Conference Platform (see links at the top of this page)
*For the pre-recorded oral presentations as well as pre-recorded lightning talks, please ensure that the video of the speaker does not obscure any content on the slides. As the placement of the speaker varies depending on the used software application, please see the comments below for each recommended video recording platform.
In keeping with the specifications of other scientific conferences, the standard aspect ratio for the slides is 16:9. Slides with a 4:3 aspect ratio will appear with a blank bar along each side.
RECORDING THE SLIDE PRESENTATION (Optional)
Pre-recorded oral presentations and pre-recorded e-poster lightning talks can be created using any software application that can export files in MPEG-4 (.mp4) format.
*Please be sure to check that the microphone level is adequate when recording the video narration. We suggest reviewing the video before uploading to the Conference Platform (Indico).

- Codec: h.264
- File Type: mp4
- Resolution: 720p (HD, minimum); 1080p (Full HD, recommended)
- Bitrate: 2,500 (minimum); 3,500–8,000 kbps (recommended)
- Framerate: 29.97 or 30 FPS
- Aspect ratio: 16:9
